AI Automation in Tucson

AI automation that answers, follows up, and keeps the work moving.

Most service businesses do not lose work because the marketing failed. They lose it because someone called while the crew was on a roof, nobody called back until Thursday, and the job went to whoever picked up first. These are the AI automation systems I set up for Tucson and nationwide service businesses. They run in the background, you approve anything that matters, and you can read every conversation they had.

21x

A lead answered inside five minutes is roughly twenty-one times more likely to turn into a customer than one answered at thirty minutes.

Widely replicated finding from lead response time research. It is an industry benchmark, not a promise about your business.

Custom automation add-ons

Four practical automations. Take one, or take the set.

Each one solves a specific leak. You do not need all four, and I will tell you which one is actually costing you money before you buy anything.

01

The Front DeskNobody who reaches out gets ignored, at any hour.

  • A chat on your website that answers real questions about your services, hours, and area, then captures the job details.
  • A text sent back within seconds of any call you miss, so the caller knows they were not ignored.
  • After-hours quote requests collected properly instead of sitting in voicemail until Monday.
  • Every conversation written down where you can read it, in your own words back to you.
02

The PhoneSomeone picks up, asks the right questions, and books it.

  • Calls answered on the first or second ring, in a voice you approve before it ever goes live.
  • The job qualified with your questions: what, where, how soon, and is it something you actually take.
  • Booking written straight onto your calendar, with the details you need to show up prepared.
  • Genuine emergencies passed through to your cell instead of being handled by a machine.
  • A short summary of every call in your inbox each morning.
03

Follow-UpThe money already sitting in your pipeline, collected.

  • Review requests sent automatically after a finished job, at the moment people are most willing to write one.
  • Quotes that went quiet chased on a schedule, politely, until you get a yes or a no.
  • Past customers who have not booked in months brought back with a reason to call.
  • Appointment reminders that cut the no-shows you are currently eating.
04

The Back OfficeHours a week you stop spending on typing.

  • Your inbox sorted, with replies drafted and waiting for you to approve or rewrite.
  • Estimates and proposals drafted from the notes of the call, so you edit instead of starting blank.
  • New jobs written into whatever you already use to track them, without retyping the same details three times.
  • One page a week: what came in, what it is worth, and what still needs you personally.
The fine print, up front

What these systems will not do

They do not replace you, and they are not allowed to make promises on your behalf.

They never quote a price, commit to a date, or agree to scope that you have not approved. Anything outside the script goes to a human, which is usually you. I would rather a system say "let me have Andrew confirm that" than invent an answer that costs you a job or lands you in an argument.

They also do not fix a business problem underneath. If the phone is not ringing at all, answering it faster changes nothing, and I will say so rather than sell you a system. That case starts with the search and website work instead.

No guarantee of a specific number of leads, bookings, or reviews. What I can commit to is that the systems do what the scope says, that you can read everything they said, and that you can switch them off in a day if you hate them.

Custom automation add-ons

Build the follow-up system your workflow actually needs

Automation is quoted separately from SEO and web design. Pricing depends on the platforms already in use, message and call volume, integration complexity, and any privacy or compliance requirements.

Response

Text and email follow-up

Missed-call response, inquiry acknowledgment, quote follow-up, and carefully scoped customer sequences.

Scheduling

Calendar and appointment workflows

Booking links, reminders, confirmations, rescheduling paths, and handoff rules matched to the current calendar.

Reputation

Review-request systems

Approved requests and reminders triggered at the right point without bundling reputation work into an SEO retainer.

Operations

Intake, CRM, and pipeline connections

Route qualified inquiries, preserve context, notify the right person, and reduce repetitive data entry.

Each automation scope stands alone.

A website build, SEO plan, paid advertising, extra location, software subscription, and third-party usage charges are not included unless the written proposal lists them. Healthcare workflows require an additional privacy, vendor, and agreement review before patient information is connected.

How it goes

From first call to live, in about three weeks

Week zero

We find the actual leak

A call about how work reaches you now: who answers, what happens after hours, where quotes go to die. If the honest answer is that you do not have a leak worth automating, I say that.

Week one

Your words, written down

I draft what the system will say: how it greets people, what it asks, what it refuses to answer, and when it hands off to you. You read it and change anything that does not sound like your business.

Week two

Built and tested against real situations

Connected to your phone number, calendar, and whatever you track jobs in. Then run against the awkward cases: the price shopper, the emergency, the one asking for something you do not do.

Week three

Live, with you watching

It goes live and you see every conversation for the first two weeks. Anything that reads wrong gets fixed at no charge. That correction period is part of the build, not an upsell.

Ongoing

It changes when you change

New service, new pricing, a season where you stop taking a certain job: tell me and it updates. Ongoing support, when included in the proposal, keeps the workflow current.

Any time

You can turn it off

One message and it stops, inside a day. Your phone number, calendar, and customer records stay yours throughout, and you leave with the transcripts.

FAQ

Things people ask about this

Will my customers know they are not talking to a person?

On the phone, it introduces itself as an assistant for your business. I do not set these up to pretend to be a human, partly because it is the wrong way to treat your customers and partly because people work it out anyway and resent being tricked. In practice almost nobody minds a fast, polite answer at 9pm. They mind voicemail.

What happens when it does not know the answer?

It says so and hands off. It is set up to take a message and tell the customer when a human will get back to them, rather than guess. Guessing is what creates the disasters people are afraid of, so the systems are built to refuse rather than improvise on price, timing, or scope.

Do I have to change the software I already use?

Usually not. These connect to common calendars, phone systems, and job trackers. If you use something unusual, I will check whether it connects before you pay anything, and tell you honestly if it does not.

What if I do not have a website yet?

Website design is a separate service. If you do not have a website, or the current website is the main constraint, start with the website options before adding automation.

Is this instead of the search and website work?

No. SEO, website work, and automation are separate scopes. Search affects how many people reach out; automation affects how consistently those inquiries are answered and followed up. If the phone is already quiet, start with search visibility.

What if it says something wrong to a customer?

You will see it, because you can read every conversation. In the first two weeks after launch I am reading them too, and fixes are free. Beyond that, corrections are covered by the monthly. If something is badly wrong you can switch the system off yourself in a day.

Find out what is worth automating

Tell me how work reaches you now and what happens when you cannot pick up. I will identify the workflow that would make a difference, explain the boundaries, and quote it separately. If the answer is that you do not need automation yet, that is a fine outcome for a phone call.
